Rules and Contract Regulations

*Payments are made at the time the contract is signed, a payment of cash or check only.  No credit cards.

* All food will be prepared by Rachel’s Restaurant. No outside food allowed!

Parties scheduled within the calendar year must pay the entire rental hall fee at the time the contract is signed. Food payment is made to Rachel’s on the day of the event.

Parties scheduled a year in advance must pay ½ the rental fee of the hall at time of signed contract.  The deposit fee will be $225.00 for the large hall and $100.00 for the meeting hall. The remaining balance must be paid six months before the event.

Cancellation of parties will receive their payments and/or deposits back prior to 60 days of the date of party. Any cancellation in less then 60 days no refund will be given.

Hall overtime rental fees of $50.00 per hour will apply to any event that goes over the four-hour allotted time on the contract. Rachel’s Catering fee $200.00 per hour overtime.

* Events are contracted for 4 hours not including set up time.

Private Parties:

Wedding, Reunions, Bridal/Baby Showers, Birthday Parties, Graduations and Fundraising Events using Rachel’s Catering: Large Hall -$450.00; Meeting Room- $200.00

Fundraising Events (Pasta, Quarter Auctions, Night at the Races etc.) not run by or affiliated by the Knights of Columbus of Immaculate Heart of Mary Parish or other IHM church group event, must pay a $200.00 clean up fee paid at the time of the deposit and non refundable if the rooms are left damaged or extremely dirty.

Student School Banquets and Dances- $100.00 discount per room

Large Room- $350.00

Meeting Room- $100.00

Note: Large groups school events, other than sports banquets over 200 students will need to pay a $200.00 clean up fee paid at the time of the deposit that is non refundable if the rooms are left damaged or extremely dirty.

Large Events: $1,000.00 all money must be paid the day of signing the contract.

*Craft Shows, Vending Events, Bridal Shows, Fundraising Events not using Rachel’s Catering

No outside food, drinks snacks or alcohol- any questions on this matter must be directed to Rachel’s restaurant. There will be a $200.00 clean up fee paid at the time of the deposit and non refundable if the rooms are left damaged or extremely dirty.

Meeting Room Events:

All meetings can only be scheduled from Monday thru Thursday during the day.

No outside food is permitted at meeting such as pizza or sandwiches.  Snacks such as cookies, donuts, chips and pretzels are permitted. If you would like to purchase food from Rachel’s, arrangements need to be made ahead of time with the restaurant.

Multiple Meeting Packages- Discount per meeting possible, call for price.

Parties with Alcohol

*In the event alcohol is to be served at Licensee’s event, Licensee cannot serve or permit to be served alcohol except with the written permission of licensor (Rachel’s Catering).

    – There will be a $3.00 charge per person for the use of the bar, which will include the

       bartenders, mixes, fruits, soft drinks, ice and glassware.

* Licensee agrees to retain one off-duty Austintown Township police officer.

    – The police officer is retained for at least 4 hours, payable in cash $35.00 per hour for a

       total of $140.00

 Decorations:

*Decorating must be done within the two-hour time period allowed for License as decided upon with the Parish Manager and the Licensee.

*Decorations are limited to those placed on tables; poster stands or in the large room only,

   attached to the cork strip on the walls. Appropriate decorations are under the sole opinion of

    the Parish Center Manager.  Decorations that are prohibited:

-No confetti, glitter, feathers or adhesives on walls or wooden pillars.

-Any other decoration that may cause damage to the parish center or its equipment constitutes a public health risk or will increase the cost of maintenance.

– Proper illumination must be maintained at all times on the Parish grounds and the Parish Center. All events which are to be held at the IHM Parish Center must be in keeping with the highest and ethical standards and no activities shall occur which are in contravention of church doctrine as interpreted by the Pastor of the Parish.
